Agent and transport bills

Share local service costs into the imported goods.

When to use it

Enter the clearing agent’s own service bill and the transporter’s bill as local purchases. Link them to the import declaration so their costs are shared into the imported items.

Enter a linked service bill

  1. Open Purchases → Purchase Invoices → New. Choose the local Supplier, date and supplier invoice reference.
  2. Leave Import unticked. Choose the declaration in For Import.
  3. Choose Share By: Value uses the imported rows’ customs values; Quantity uses their quantities; Weight uses Net kg on the declaration.
  4. Add the service rows with their expense accounts and VAT treatment from the local bill. Check the totals, save and submit.
  5. Check the automatic Import Cost Entry in Purchases → Import Cost Entries. It follows this service bill; do not add the same bill to another cost entry.
  6. Pay the local supplier with a normal payment. If the service bill was entered incorrectly, cancel the bill; its automatic cost entry is cancelled with it.

The fictional clearing bill PINV-1031 contributes Rs 3,000 through ICE-00001, shared by Value. Transport bill PINV-1032 contributes Rs 4,500 through ICE-00002, shared by Quantity.

What BookPana books

Step Debit Credit
Local bill Service expense and any local input VAT Local supplier
Automatic cost entry Imported item costs Service expense, excluding VAT

The local bill’s VAT stays on that bill. Stock already received is revalued for its share of the service cost.

Common mistakes

Do not include customs paid on your behalf in the agent’s service cost a second time. Choose the agent as payer on the declaration for that amount. Weight sharing needs net weights; quantity sharing across different units may give an unsuitable result. A cancellation reverses the allocations, so check the import cost sheet afterwards.
