Import Cost Sheet

Compare invoice values, added costs and landed cost per item.

When to use it

Use the Import Cost Sheet to review submitted import bills, declarations and cost entries. It reads existing records and makes no postings.

Read the report

  1. Open Purchases → Import Cost Sheet, or Create → Cost Sheet on a submitted import bill.
  2. Set From Date, To Date and, where needed, Import Bill, Pragyapan Patra No, Supplier, Customs Office or Item.
  3. Choose View: Matrix lists item rows, bill subtotals and a total; By Bill combines the rows of each bill; Detailed Rows traces charges to their source documents and accounts.
  4. Read Invoice Value (NPR) at the bill’s rate separately from Statistical Value, customs box 46.
  5. Compare Total Additional, Total Non-Additional, Net Amount, Landed Cost (NPR) and Cost Per Unit. Use Show zero columns if you need the unused columns too.
  6. Use the report’s print control for landscape output, or Export for Excel and the other available formats. Export the same view you reviewed.

Understand the columns

Mark or total Meaning
(V) Added to item value; included in Total Additional
(T) Claimable tax; included in Total Non-Additional
(E) Expense; included in Total Non-Additional
Net Amount Total Additional + Total Non-Additional
Landed Cost Invoice Value (NPR) + Total Additional
Cost Per Unit Landed Cost divided by quantity, shown to four decimals

PINV-1030 has invoice value Rs 1,62,975 and additional costs Rs 27,173: landed cost Rs 1,90,148. Its claimables are Rs 23,371. Agent and transport costs share the Cost of Goods Sold (V) account column; column names follow the actual expense accounts, not a guessed type of supplier.

Common mistakes

Awaiting customs means there is no submitted declaration; PINV-1034 is an example. Not received means tracked goods have no submitted receipt. Date filters use the submitted declaration date, or the bill date while awaiting customs. Item filters retain original shares. Cancelled sources are excluded. Mixed-currency totals do not add foreign amounts together. Rates are not summed, and claimable VAT is not part of landed cost.
